EZ -Submission

Revised September 10, 2003. Click here (html pdf Word) to submit a manuscript by e-mail.

EZ One Step Submission

First, on the subject line of the e-mail, write "RDE submission." This essential step will guarantee that your submission will not be buried amidst a myriad of junk e-mails, which are constantly being erased. If you do not receive an acknowledgement within a month, please send it again.

Just send one PDF file, using Adobe PDF Writer/Distiller (Go to step 3 below), and mail or fax the submission fee. Only the main body, excluding the cover page, will be sent to the referees. Remember that the first line of the main body should be the title of the paper . Otherwise, your paper may appear to be a beautiful bride with a veil, and it takes a while for the referees to get an idea about the paper.

If you know how to split the paper into the main body and the cover page, please send these two files to the editorial office. In this case, move the abstract to the second page, i.e., the main body.

E-submission cuts your waiting time by at least 3 months

This procedure on average cuts your waiting time to receive an editorial decision by at least three months. Most referees prefer PDF files to hard copies. Acknowledgement and editorial letters conveying acceptance or rejection can also be sent by e-mails. If all parties desire it, this new procedure will tremendously expedite the refereeing and publication processes.

In order to maintain the integrity of the double-blind review process, which RDE upholds, three items must be properly submitted to facilitate electronic submissions. If you follow this procedure, your referees will have everything except author information. Otherwise, they may have not have the title or abstract or figures.

  1. Cover letter and fee payment
  2. The cover letter or submission letter by e-mail must contain (i) the title of your paper, a statement indicating that you are submitting it to RDE, and (ii) complete correspondence information about the submitting author: (a) postal address, (b) telephone or fax numbers, and (c) e-mail address.

Fee payment: You can mail the cover letter and a check together with a diskette containing the file of your paper.

By Fax: Alternatively, the letter and credit card payment information can be sent by fax (e-mailing credit card information is not recommended yet). A pdf file of your paper can be sent by e-mail.

  3. PDF Files Only
  4. The editorial office will handle only PDF files. While popular among scholars for exchanging drafts, Microsoft Word files with .DOC extension are not safe because command languages can be embedded. They can destory the hard disks of the recipients.

  5. Use Acrobat Distiller/PDF Printer
  6. Always install the latest version of Adobe Reader so you can read the pdf file produced.

    1. Adobe Acrobat Version 5.
From your word processor, print your document to Adobe Distiller, then save the pdf file in your desired directory.
    2. Adobe Acrobat Version 6
From your word processor, print your document to Adobe PDF printer, then save the pdf file in your desired directory. Alternatively, just click the Acrobat logo.
    3. Use Adobe Reader to check whether the paper is properly converted into a pdf file. Make sure all equations are properly converted. Attach the pdf file to your e-mail to the editorial office.
    4. Avoid using nonstandard symbols. Please visit the NSF site concerning problems you encounter when creating PDF files, http://www.fastlane.nsf.gov/a1/pdfcreat.htm.

  7. Cover Page
  8. You may send one PDF file of your paper to the editorial office. You may also split it into two files. In either case, the cover page should contain (i) the title, (ii) postal address, (iii) telephone and fax numbers, (iv) regular e-mail address (mandatory), and (v) acknowledgments or headnotes may also be included here. Any other information about the authors must be included in the cover page.

  9. Main body
  10. Most referees are willing to read PDF files. Repeat the title of the paper. Otherwise, the referee will be in the dark until he or she finishes reading the paper, which could be interrupted by a number of things. The main body should begin with the title and the abstract, followed by the text, appendices, references, notes, tables, and figures. The main body should not contain any explicit statement or any hint about the identity of the authors (as in a headnote), or acknowledgements. This part will be transmitted to the referees electronically.

When the papers are safely retrieved, you will get an electronic acknowledgment.

Electronic working papers currently available on the Internet do not facilitate the double-blind refereeing process; they reveal the identity of authors on the cover page. Such papers must be re-prepared, separating the cover page from the main body. If the main body contains any hint about the identity of authors, a hard copy, instead of an electronic version, will reach the referees.

  11. Change Document Property
  12. After the PDF file is prepared, go into File, Document Properties, Summary, and Author. Delete the author's name which is entered automatically by Acrobat when the document was created.

  13. No Hint of Authors or Affiliations in Headers and Footers
  14. Please do not include any words in headers or footers that hint the identity or affiliations of the authors.

  15. Subject line: RDE Submission
  16. In order to help the editorial office not overlook your submission amid spams, please write "RDE Submission" in the subject line of your e-mail message. Please do not mention the editor's name in the subject line, because the majority of junk mails do. Also, if you do not receive acknowledgment within one month of your submission, please send another e-mail or call 515-294-5999 to verify your submission.

  17. Paper Size
  18. Authors outside North America are used to A4. Please change the paper size to LETTER before you submit the file. This would eliminate all the problems associated with printing the file in the editorial office. Please delete empty pages that may be created during this conversion.

  19. Necessary File Extensions
  20. PDF files should have the extension .PDF ; Example: FILEA.PDF

  21. Suggested File Names
  22. One PDF file is preferred. If figures and tables are generated by different programs, here are some suggesetions. The last letters, A (all), B (body), C (cover page), F (figure), T (table) and X (appendix), in a file name can be used to denote the nature of the file. For instance, FILEA.PDF indicates that the whole paper is a PDF file; and FILEC.PDF the cover page. Do not start the file name with "FILE"; any name that suggests your last name or the title of the paper would be more useful to distinguish your files from those of others.

  23. Contact the Editorial Office
  24. If you do not receive an acknowledgment letter with a manuscript number within a month, please contact the editorial office. Electronic submissions are more convenient but less reliable than submissions by snail mail. Your submissions might be buried together and ignored with other e-mails due to increases in spam.
